Participation guidelines and technical specifications

Elegibility

  1. All participants must agree to and comply with the contest rules. Non-compliance will lead to disqualification
  2. Open to any individual scientist, researcher, or student working at a Portuguese research institution
  3. Only one entry per participant is allowed. Multiple entries will result in disqualification

Submission guidelines

  1. Entries must be submitted via the official submission form (see at the bottom of this page). The submission form will be available starting on 8 September 2025.
  2. Images must be submitted in JPG, JPEG, PNG, or TIFF format, with a minimum resolution of 300 DPI (dimensions 10 x 11.96 cm). For the top three selected images, participants will be requested to submit as 600 DPI .jpg saved at maximum resolution, sized at 196 mm wide x 230.5 mm high, and in RGB colour mode.
  3. Images should be of the highest quality in terms of file size, bit depth, and resolution (max. 20 MB). The images must have been taken by the participant using a microscope.
  4. Re-colouring is permitted.
  5. Each entry must include a brief description (max 300 words) explaining the image, the sample, the equipment used, and the facility (if applicable).
  6. Image name should adopt the file name initial_surname (e.g., m_pinho.jpeg).
  1. The image competition is organized by PPBI (Portuguese Platform of BioImaging) and sponsored by SPAOM2025.
  2. All submitted work must be original, created solely by the participant, and must not infringe on any third-party rights.
  3. Submissions must not use any existing image, trademarks, or copyrighted material.
  4. PPBI is not responsible for any legal claims related to intellectual property violations; participants will bear full responsibility.
  5. The winning image and all submissions become the exclusive property of PPBI.
  6. No additional compensation will be provided beyond the specified prize.
  7. The image must not include any offensive, inappropriate, or politically sensitive content.
  8. Any disputes will be subject to the legal jurisdiction of Portuguese law.
  9. By submitting an entry to the competition, the participant expressly agrees that the submissions will be publicly displayed at PPBI’s website, social media, and the SPAOM 2025 congress with the name of the participant and the submitted information. The participants‘ contributions may be used, reproduced, published, and edited without spatial or temporal restrictions, free of charge, and with attribution of the authors, for advertising purposes.
  10. By submitting a proposal to this contest, the participant expressly acknowledges and agrees to all the terms and conditions set forth in this document.

Important Dates

  • Call opening: 8th September 2025.
  • Deadline for submissions: 22nd September 2025 3rd October 2025.
  • The winner will be announced by the 8th of October 2025 on PPBI´s website and social media.
  • The winner will be formally awarded during the SPAOM 2025 Congress (5th to 7th November 2025).
  • Late entries will not be accepted.

Evaluation Criteria and Awards

A jury composed of members from the PPBI’s Communication & Dissemination working group will evaluate the entries. All eligible submissions will be reviewed equally based on:

  • Originality and creativity
  • Visual impact
  • Scientific relevance
  • Technical quality

Prize

  • The prize for the winning image is a free registration to the SPAOM 2025 congress, which will be held in Braga, Portugal, from November 5th to 7th, 2025.
  • The jury’s decision is final and binding.
  • The top three entries will be featured on PPBI’s website and social media channels with full credit to the author.

Additional notes

  • Entries will be anonymized prior to judging.
  • PPBI reserves the right to cancel or amend the competition at any time.
  • Participants should follow PPBI’s website and social media channels for updates.
  • All participant images will be displayed on a digital display during the SPAOM 2025 congress.

Regulamento de participação no concurso e especificações técnicas

Elegibilidade

  • O concurso é aberto a qualquer cientista, investigador ou estudante a trabalhar numa instituição de investigação portuguesa.
  • É permitida apenas uma submissão por participante. Múltiplas submissões resultarão em desqualificação.
  • Todos os participantes devem aceitar e cumprir as regras do concurso. O não cumprimento levará à desqualificação.

Regras de Submissão

  1. As candidaturas devem ser submetidas através do formulário oficial (ver no final desta página). O formulário de submissão estará disponível a partir de 8 de Setembro de 2025.
  2. As imagens devem ser enviadas em formato JPG, JPEG, PNG ou TIFF, com resolução mínima de 300 DPI (dimensões 10 x 11,96 cm). Para as três imagens finalistas, os participantes serão solicitados a enviar uma versão a 600 DPI, em formato .jpg guardado na resolução máxima, com dimensões de 196 mm de largura x 230,5 mm de altura, em modo de cor RGB.
  3. As imagens devem apresentar a melhor qualidade possível em termos de tamanho de ficheiro, profundidade de bits e resolução (máx. 20 MB). As imagens devem ter sido captadas pelo participante utilizando um microscópio.
  4. É permitida a recoloração.
  5. Cada submissão deve incluir uma breve descrição (máx. 300 palavras) explicando a imagem, a amostra, o equipamento utilizado e a facility (se aplicável).
  6. O nome do ficheiro deve seguir o formato: inicial_apelido (ex.: m_pinho.jpeg)

Propriedade Intelectual e Termos Legais

  1. O concurso de imagens é organizado pela PPBI (Plataforma Portuguesa de BioImagem), e patrocinada pelo SPAOM2025.
  2. Todo o trabalho submetido deve ser original, criado exclusivamente pelo participante e não pode infringir direitos de terceiros.
  3. Não serão aceites submissões que utilizem imagens, marcas registadas ou material protegido por direitos de autor.
  4. A PPBI não se responsabiliza por reclamações legais relacionadas com violações de propriedade intelectual; os participantes assumem total responsabilidade.
  5. A imagem vencedora, assim como todas as submissões, tornar-se-ão propriedade exclusiva da PPBI.
  6. Não será atribuída qualquer compensação adicional para além do prémio especificado.
  7. As imagens não podem incluir conteúdo ofensivo, inapropriado ou politicamente sensível.
  8. Quaisquer disputas estarão sujeitas à jurisdição da lei portuguesa.
  9. Ao submeter uma candidatura, o participante aceita expressamente que as imagens possam ser exibidas publicamente no site da PPBI, nas redes sociais e no congresso SPAOM 2025, juntamente com o nome do participante e as informações fornecidas. As contribuições poderão ser utilizadas, reproduzidas, publicadas e editadas, sem restrições temporais ou geográficas, de forma gratuita e com atribuição de autoria, para fins de divulgação.
  10. A submissão de uma proposta implica a aceitação de todos os termos e condições estabelecidos neste documento.

Critérios de Avaliação e Prémios

Um júri composto por membros do grupo de trabalho de Comunicação & Disseminação da PPBI avaliará as candidaturas. Todas as submissões elegíveis serão analisadas com base nos seguintes critérios:

  • Originalidade e criatividade
  • Impacto visual
  • Relevância científica
  • Qualidade técnica

Prémio

  • O prémio para a imagem vencedora é uma inscrição gratuita no Congresso SPAOM 2025, que se realizará em Braga, Portugal, de 5 a 7 de Novembro, 2025.
  • A decisão do júri é final e vinculativa.
  • As três melhores imagens serão destacadas no site e nas redes sociais da PPBI, com crédito ao autor.

  • As candidaturas serão anonimizadas antes da avaliação.
